Overview
The Occupancy Planner sits at the intersection of data, strategy, and relationship building - translating how people work into how space performs. You'll turn headcount projections, utilization analytics, and business goals into actionable workplace plans that shape the future of how teams connect and collaborate. This role combines analytics with creative problem-solving, partnering across Real Estate, HR, and business units to deliver flexible, high-impact environments that evolve with the organization.
Relationship Management / Delivery
Building relationships with your end user customers will be key to understanding their business needs, promoting workplace solutions and concepts to them, and resolving their workplace issues.
You'll be on point to answer questions about the workplace program, space and occupancy, allocations, and utilization for your assigned buildings or business units.
You'll be familiar with the workplace at each site and use that knowledge to manage and resolve requests.
To be successful in this role, you should be able to see the small moving parts that make up the big picture, and effectively communicate and collaborate with our move coordination team to help plan strategic migration schedules and tactical moves.
You'll keep on top of things as you'll often need to reorganize your time day to day, to deal with your team's changing necessities and requests.
Occupancy Planning Expertise
Support scenario planning that aligns with seat supply and business demand, ensuring the portfolio is optimized for both current needs and future growth
Develop and maintain stacking plans, adjacency maps, and migration strategies that tell a visual story of how space adapts to change
Translate organizational shifts into clear, data-backed recommendations that balance efficiency, and agility
Partner on broader initiatives such as hybrid work strategy, and workplace transformation, and space densification
Maintain and update space management software to ensure real-time accuracy of seating charts, team allocations, and floor plans. Collect and maintain accurate headcount and space utilization data from business units to inform space planning and workplace needs
Workplace Analytics
Turn complex occupancy data into meaningful insights through dashboards and storytelling that influence leadership decisions
Track, analyze, and forecast utilization metrics to drive smarter planning and long-range strategy
Manage CAFM/IWMS systems (Tririga, Archibus, etc) to ensure data accuracy and integration across the portfolio
Stakeholder Relationships:
Build trusted relationships with business leaders and cross-functional teams, acting as the connective tissue between data, planning, and people.
Present findings and recommendations in a ways that resonate with both analytical and business audiences
Collaborate closely with Project Management and FM teams to ensure seamless transitions for moves, restacks, and reorg
Qualifications:
A strategic mindset grounded in data and cross-functional collaboration
Proficiency in workplace analytics tools (Google Sheets, Excel, Tririga, or CAFM platforms)
Experience transforming data into visual narratives that influence decisions
Exceptional communication and relationship building skills-able to navigate stakeholders from execs to end users
Bachelor's degree required. Ideally in Architecture, Project Management, Business, or a related field
2+ years of experience in workplace strategy, occupancy planning, or corporate real estate
Pay: $100,000 - $118,000 DOE
The pay listed is the salary range for this position. Any specific offer will vary based on the successful applicant's education, experience, skills, abilities, geographic location, and alignment with market data.
You may be eligible to participate in a Company incentive or bonus program.
